Secretary to Divisional Director
Location: Two days per week based at one of our sites across Oxfordshire/Gloucestershire
Salary: £23,786 per annum
Hours: 30 hours per week, Monday - Thursday 8:30am - 5:00pm
An exciting opportunity has arisen for a secretary to support the Divisional Director for our Central Division of Care Homes at The Orders of St John Care Trust.
This role supports the Divisional Director with a full range of administrative duties and contribute to the efficient and effective running of the Divisional Office. You will be required to work closely with the Divisional Director and Operations team within the Division.
Key Accountabilities
- Receive and respond to incoming telephone calls as necessary, dealing directly with enquiries or ensuring that messages are passed to the appropriate person
- Manage and maintain the DD’s diary
- Assist with the organization of the DD’s email inbox, and respond to emails where appropriate
- Organize and co-ordinate meetings and book venues
- Maintain a fail safe bring forward system to ensure the DD is provided with relevant documents in a timely and efficient way
- Set up and maintain paper and electronic filing systems for records, correspondence and other material
- Preparation of, and minutes for the Area Operations Manager and Home Managers meetings
- Manage complaints ensuring a timely response
- Draft correspondence on behalf of the DD
- Log and monitor annual leave for the Operations Team and Home Managers
- Produce a printed set of KPI information on a monthly basis for the DD and AOMs
- Ensure Operations Visit information is up to date (monthly)
- Maintain an up to date file of Home information containing a copy of the: internal audit report, most recent CQC Inspection report, QRP, any relevant emails/correspondence.
- Complete and return payroll forms for the Operations team on behalf of the DD
- Organise events such as the County Employees Awards and Home Manager Christmas party
- Organise Long Service Awards for the county
- Communicate effectively with Directors, colleagues and stakeholders
